Build a social media content calendar you can keep

A useful content calendar answers three questions: what is going out, where it is going, and when it will publish. Start with a manageable week, then build a repeatable routine around content you can actually prepare.

Set the workspace timezone before planning. A shared idea sent to three accounts uses three publishing destinations, each with its own result.

Start with an editable planning worksheet

Use Cadalio's free weekly content calendar template to choose a first day, edit illustrative briefs and download a CSV for Excel or Google Sheets. Add the owner, reviewer, asset reference and approval status in your spreadsheet. The worksheet helps you prepare content; it does not schedule posts or enable a pending platform connection.

Plan one realistic week

  1. Choose a small set of recurring themes, such as product education, a customer question and behind-the-scenes work.
  2. List the media and information each idea needs. Keep incomplete content as a draft.
  3. Choose the relevant accounts for each idea. Every post does not need to go to every network.
  4. Spread the posts across the calendar, leaving space for timely announcements.
  5. Review captions, media and destination settings, then schedule only the posts that are ready.

Check the date as carefully as the content

Cadalio displays the calendar using the workspace timezone and stores publication times in UTC. If your team operates in several countries, agree on the workspace timezone before scheduling. Review local times around daylight-saving changes and when a campaign is tied to a specific event.

Scheduled jobs run on the server while your device is offline. The time you choose is the intended dispatch time; platform processing and temporary outages can delay when a post becomes visible.

Use recurring slots for repeatable content

Where your plan includes Posting queues, set recurring slots for content that does not need a fixed campaign date. Queued posts use the next available opening. Use a specific scheduled date for launches, events and other time-sensitive work.

A queue helps keep a rhythm, but it still needs ready content and valid connections. Review the next few posts after a connection changes or when you edit a recurring slot.

Close the loop each week

  • Check published destinations and resolve attention states.
  • Compare results within the same channel and format before drawing conclusions.
  • Keep useful ideas and captions, but refresh repeated wording.
  • Update the following week's plan using what your audience actually responded to.
